What We Process and Why
| Data | Purpose | Legal basis |
|---|---|---|
| Name, email, phone (optional), subject and message from the contact form | Responding to your inquiry, referral or request for services | Steps at your request before entering into a service relationship (Art. 6(1)(b)) and our legitimate interest in answering inquiries (Art. 6(1)(f)) |
| Technical data such as IP address, browser and device type, and pages visited | Operating, securing and troubleshooting the website | Legitimate interest in keeping the website secure and available (Art. 6(1)(f)) |
| Your cookie choice and offline cache | Remembering your preferences and enabling offline access | Strictly necessary for the service you request (ePrivacy exemption) and legitimate interest (Art. 6(1)(f)) |
| Optional analytics data (only if enabled) | Understanding how the website is used | Your consent (Art. 6(1)(a)), which you can withdraw at any time |
| Information we must keep or disclose | Meeting legal duties, including mandatory child-safety reporting | Legal obligation (Art. 6(1)(c)) and protecting vital interests (Art. 6(1)(d)) |
Please do not send special category data (such as health information) through the contact form. If you do, we will process it only to respond to you, based on your explicit choice to provide it (Art. 9(2)(a)), and we may ask to continue the conversation through a more secure channel.
Your Rights
Subject to the conditions in the law, you have the right to:
- Access the personal data we hold about you and receive a copy
- Rectification of inaccurate or incomplete data
- Erasure of your data (the "right to be forgotten")
- Restrict how we process your data
- Data portability, receiving your data in a structured, machine-readable format
- Object to processing based on our legitimate interests
- Withdraw consent at any time, without affecting processing that happened before, for example through Cookie Settings
- Lodge a complaint with your local data protection supervisory authority, or the UK Information Commissioner's Office
We do not make decisions about you based solely on automated processing, including profiling.
How to Exercise Your Rights
Email us at [email protected] with the subject line "Data Protection Request" and tell us which right you want to exercise. We may ask you to confirm your identity. We will respond within one month, which may be extended by two further months for complex requests, in which case we will let you know. There is normally no fee.
International Transfers
We are based in the United States, and this website and its data are hosted in the United States. When you send us information from outside the U.S., it is transferred to and processed in the U.S. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses with our service providers, or on the transfer being necessary to respond to a request you have made.
Retention
We keep contact form submissions only as long as needed to respond to you and for legitimate record-keeping, after which they are deleted, unless a longer period is required by law or you become a client, in which case your records are handled under our client confidentiality policies. Technical logs are kept for a short period by our hosting provider. Your cookie choice stays on your device until you clear it.
Recipients
We share personal data only with service providers that host and operate this website on our behalf under data protection obligations, with our parent company NBJPN Holdings LLC for administrative purposes, and with authorities where the law requires it. We never sell your personal data.
